Billing

Administrator

Administrator handles your account's billing: they see the account status, enter the tax details and pay. How your account is charged (whether you add balance in advance or we invoice you each period, and whether you are invoiced within the country or abroad) depends on how your account is set up; this page explains both cases.

Settings › Billing

In Settings › Billing you have three options:

  • Tax information: who is invoiced. Fill in Country, ID type, Tax ID, Legal name / Full name and Tax address. Above the form you see your account's situation and what happens when you save.
  • Notifications: in Notification emails you enter the addresses where you receive your invoices and the other billing notices. If there are several, separate them with a semicolon (;).
  • Transactions: all your account's transactions, with their date, their Notes, the Amount and the Balance left afterwards. If you paid recently, the payment can take up to 72 hours to appear.

The trial period and activation

When you create your account, you start with a trial period of your plan. To keep using it afterwards, activate it: activating your account means filling in and saving your Tax information. On that same page you see when your trial ends and what happens when you save:

  • If you add balance in advance, you need balance for the first period before the trial ends.
  • If we invoice you each period, the first period is invoiced on the day the trial ends.

If the trial already ended without you activating the account, saving your details reactivates it: if we invoice you each period, the first period is invoiced within the next few hours; if you add balance in advance, you also have to add balance for the first period. Filling in your billing details is also one of the steps to set up your account.

The account status

Click Account status (the coin icon, top right) to see how your account stands. A dot on the icon tells you there is something to resolve. At the top you see one of these statuses:

  • Trial period: your trial hasn't ended yet. If you already activated your account, it tells you the date from which it starts being invoiced.
  • Your trial has ended: the trial ended without you activating your account. The Activate your account button takes you to fill in your billing details so that access isn't suspended.
  • Your billing details are missing: you haven't activated your account yet. The Activate your account button takes you to fill them in.
  • You're up to date: you have nothing pending.
  • Insufficient balance: if you add balance in advance, your balance isn't enough for the next period.
  • Payment pending: if we invoice you each period, you have a pending payment.
  • Account suspended: see below what happens if your account is suspended.

When something is pending, the account status shows you how much time is left before access can be suspended. Below it you see your balance: if you add balance in advance, your Available balance and the Next charge; if we invoice you each period, the Last period, your Last payment or the Previous balance, the Total to pay and when the Next period starts. If your account is invoiced abroad, amounts are shown in USD.

The notice on the home page

When there is something to resolve, Administrator also sees a notice on the home page: that the trial is ending or has ended, that the balance isn't enough for the next period, that a payment is pending, that the payment deadline has passed or that the account is suspended. When it applies, the notice says the date by which you have to resolve it, and its Account status button takes you straight to the account status.

Pay

From the account status, click Pay. There you choose the amount you want to credit: only what is due each month is deducted, so you can pay exactly the period's amount or pay more in advance. If there is an amount pending or the next period needs balance, it shows you how much we suggest you credit so the service isn't interrupted.

If we invoice you each period, you have nothing to pay during the trial, so you don't see the Pay button. You don't see it either while your billing details are missing: Activate your account is there instead.

The accounts and methods you can pay with, and how each one is credited, are in Payment methods. A payment can take up to 72 hours to show in your balance and in your Transactions. If you don't see it after that time, write to us at soporte@turnovirtual.com.

Your invoices

Invoices are issued at the start of each period, not each time you add balance. They arrive by email at the addresses you entered in Notifications, with a link to download them. Check that those addresses are up to date so you don't miss any.

If your account is invoiced abroad and you chose Company as the ID type, your invoices also show your Tax ID, as it was when each one was issued. Older invoices, issued before this detail was added, don't show it. If you change it, the change appears only on later invoices: the ones you already received don't change.

If your account is suspended

If the payment deadline passes, if you add balance in advance and it isn't enough to continue, or if the trial ends without you activating the account, the account status and the home page notice tell you what to do and by when, to avoid the suspension. If it isn't resolved in time, the account is suspended. While it is suspended:

  • Your clients can't book appointments online.
  • The other users can't sign in.
  • Administrator can only access billing: the account status, Pay and Settings › Billing.

To reactivate it:

  • If your billing details were missing, fill in your Tax information. If you add balance in advance, also add balance for the first period.
  • Otherwise, pay what is pending: the account is reactivated automatically when the payment is credited.
