Notices and reminders

Administrator Assistant Professional

Turno Virtual lets your client know by email every time something happens with their appointment. Notices go to the Email entered in the appointment: if you book an appointment without an email, they don't get any.

When a notice is sent

  • When you book an appointment. If you book it from the schedule for less than 20 minutes from now, it is not sent. Appointments your client requests online always get their notice.
  • When you move the appointment to another day or time.
  • When the appointment changes state, for example when you cancel it. See appointment states.

Which notices are sent and what each one says depends on how your account is set up. If you want to change the text of an email, or stop sending one, write to us at soporte@turnovirtual.com.

To see which emails went out, to whom and whether they were sent, see sent emails.

The appointment in your client's calendar

Along with the notice of a new appointment comes an invitation your client can add to their own calendar (Google Calendar, Outlook and others), with an alarm half an hour before.

If you later move the appointment, the notice brings the updated invitation and the appointment changes time in their calendar. If you cancel it, the appointment is removed from their calendar.

The reminder

The day before the appointment, about 24 hours earlier, your client gets a reminder by email. If the appointment was booked with less notice, the reminder still goes out, as long as it is more than an hour away. It is sent only once per appointment, and it is not sent if the appointment is canceled.

Reminders depend on your plan: they are sent if your plan includes messaging and your account is active.

The highlighted message

With the Highlighted message for appointment reminders you add your own text to the reminders and to the appointment receipt, for example what to bring or how to get there. You enter it in each schedule, in Advanced settings. See create a schedule.

You can also enter one for your whole account, in Settings › Company, Appointment tab. That message is only used on the receipt, and only for appointments in schedules that don't have their own: for it to reach the reminders, enter it in each schedule.

Copy for the professional

If in the schedule, in Advanced settings, you turn on Send a blind copy of appointment notifications to the professional, the schedule's professional receives a copy of the notices of their appointments, and the appointment is also added to their calendar.

If your client changes their details when booking

When someone who is already your client requests an appointment online with a name, email or mobile number different from the ones in their client record, the appointment is still booked with the details they typed, but their client record doesn't change. To update it, an email goes to the address already on their client record, with a link to confirm the change.
