Create a schedule

Administrator Assistant Professional

The schedule is where appointments are booked: it has its time slots, the professionals who work in it and the services it offers. Before you create it, add the branch where you see your clients.

Create the schedule

Go to Schedules and add a new one. In Main details fill in:

  • Branch: where clients are seen.
  • Status: leave it Active so appointments can be booked.
  • Name: the name your clients see when they book online. By default it takes the professional's name, but you can change it.
  • Professionals: who works in this schedule. See how to add your team.
  • Services: what can be booked in it. Choose at least one; if you don't have any yet, add your services.

When you save, the schedule starts with a sample time slot: from 9, for about four hours, with the appointment length of the chosen service (or 15 minutes, if the service doesn't have one). Edit it to match your real hours.

If you are Professional, your schedules are your own: you only see the ones where you work, and you can create one if you don't have any yet. When you create it, you are assigned to it automatically.

Other schedule options

  • In the Microsite tab, Allow only the next available time means your clients can only book the first free appointment, and Message to show in the wizard search is a text they see when they choose the day and time.
  • In Advanced settings you can set the Room where clients are seen, in person or online (for example, “Office 3” or “Meet room”), a Highlighted message for appointment reminders that is included in the email reminders, a Time zone of its own (if you leave it empty, it uses the branch's) and whether a blind copy of the appointment notices is sent to the professional.
  • Medical The schedule also sets which Coverages it accepts and whether it Requires procedure when booking.

Set up the time slots

In the schedule's Time slots tab you add each time slot when clients are seen:

  • Days: choose one or more Days of the week, or a Special date for a single day. One of the two, not both.
  • From, To and Appointment length: the range must hold a whole number of appointments. For example, from 9 to 12 with 30-minute appointments gives six appointments; with 40-minute appointments it doesn't fit and can't be saved.

In each time slot's Advanced settings there are three more options:

  • Visibility: with Public your clients can book online in that time slot; with Private they don't see it. With Internal or First come, first served they see the hours, but they can't book online.
  • Capacity: how many appointments can be booked at the same time. Useful when you see more than one person at a time.
  • Validity: from and until which date the time slot applies. It is usually left empty, but it lets you prepare a change of hours that starts later on.

Non-working days

In Schedules › Non-working days you add the holidays and days when you don't see clients, with their date, a description and the branch they belong to. They are added by Administrator and Assistant.

If your plan includes a single schedule

With a single-schedule plan there is no list of schedules: when you go to Schedules you go straight to yours. The same happens to Professional if they work in a single schedule.

Your schedules on the home page

On the home page, the Schedules box shows how many schedules you have. Select it to go to the list. If you can create schedules, the New schedule button is right there.

If you are Administrator or Assistant, the box also shows how much of your plan you use: your active and suspended schedules in this branch, those in your other branches in a lighter color, and the ones you can still create. If you have more schedules than your plan includes, you see a notice with how many you have over the limit.
