The schedule

Administrator Assistant Professional

In the schedule you see the free times, the booked appointments and the blocked times, and from there you book appointments. If you don't have a schedule yet, start by creating a schedule.

Open the schedule

Go to Schedules and choose the schedule. With the button on the right side you open the list of schedules, to move from one to another without going back. If your plan includes a single schedule, or if you are Professional and work in a single one, going to Schedules takes you straight to it.

If you are Professional, you only see the schedules where you work.

At the top of the schedule you choose what to show:

  • The date it starts from and how many days you see in View: 1 day, 2 days, 3 days, 5 days or 1 week. On small screens fewer options appear.
  • The arrows move forward or back one day, or a whole period.
  • Suspended: also shows the canceled appointments, which are normally hidden.
  • Clients: shows or hides your clients' names, for example if you are sharing your screen.

The non-working days you added are marked with their description.

What each time shows

Each box is a time in the schedule, with its start and end time and its length. Hovering the mouse over it shows the details:

  • Available: a free time. If the time slot has Capacity for more than one appointment at a time, you see one box per place. The color bar on the left shows the time slot's visibility (for example, Public if your clients can book it online), and by clicking it you can block the whole time slot.
  • An appointment: shows the client's name, their coverage if they have one, the appointment state and the notes.
  • Blocked: a time reserved with an event, with its type and its notes.

Clicking a time opens its options. On a free time, New appointment lets you book an appointment and Block time adds an event. If you have neither the Book appointments nor the Assign events permission, you see the schedule but these options don't open. See the permissions.

Block a time

An event is not an appointment: it takes up a time in the schedule so no appointments are booked in it, for example for a leave or a meeting. To add one, click a free time and choose Block time:

  • Leave type: Leave, Meeting or Other.
  • The schedule and the start and end time. They can span more than one appointment, or whole days.
  • Notes: free text shown in the schedule.

When you click an event you can use Edit block to change it, Activity to see its change history, or Delete to remove it. When you delete it, the time becomes free for booking appointments.

The appointment list

In Schedules › Appointments you have all appointments in a list, with the date and the schedule, the client, the service, the branch, the coverage, the state and the type. Each appointment has the same options as in the schedule.

If you are Professional, you only see your own appointments in the list.

Print the day's list

With Print, at the top of the schedule, you choose a day and see the Daily schedule list: that day's appointments and events in order, with the time, the client and their contact details, the service, the procedure, the coverage and the notes. Canceled appointments don't appear. From there you can print or download it.
