Online booking

Administrator Assistant Professional

From your microsite, your clients request appointments with Request appointment and cancel the ones they have with Cancel appointment, at any time and without calling you.

If you have your own website or app, you can also offer booking and canceling appointments there by connecting them to Turno Virtual: see the API integration.

How your client books

  1. They choose what they need. If your account uses scopes, they choose the scope first. Then they choose the service and, depending on your account, the branch, the professional or the payment method. Only the coverages that have Accepts online appointments checked appear.
  2. They choose the day. They see your schedules with the first free time of each day, from the date they enter in Starting from. If the schedule has a Message to show in the wizard search, they see it here.
  3. They choose the time and fill in their details. When they select a day they see all of that day's free times. They fill in their name and last name, their email or their mobile number (at least one of the two) and, when it applies, their ID document and the procedure. They can also leave a note.
  4. They confirm with Request appointment. They see the message Appointment booked! and can download the Receipt.

The appointment appears in your schedule as Requested: the time is already taken, and you move it to Assigned when you confirm it. See appointment states. Your client receives the appointment notice by email, as explained in notices and reminders.

Which times are offered

Your clients only see the times of the time slots with Visibility set to Public, within the microsite's Day limits, and never on a non-working day. Internal and First come, first served time slots appear as a notice, with no times to book. See create a schedule.

In each schedule's Microsite tab you can turn on Allow only the next available time: this way your clients can only book the first free time of each day, without leaving gaps between appointments.

If two people choose the same time at once, the second one sees "The time you chose is no longer available" and goes back to the search to choose another.

A client can't book two overlapping appointments in the same schedule. If they select Request appointment twice, or request a time they already have again, they see "This person already has an appointment in this schedule at the following times" and the appointment is not booked twice.

How your client cancels

In Cancel appointment, your client types their ID document type and number, the date of the appointment and the service or the professional. They see their Requested or Assigned appointments for that day, choose the one they want to cancel, can write the reason and confirm with Suspend.

The appointment becomes Canceled and the time is freed for someone else. The microsite's Min / cancellation and Max / cancellation set how far in advance appointments can be canceled online.

If a client can't book

  • If you blocked them. In the client's record, in Access, you can mark them as Blocked. If they book with their ID document, they see "You can't request online appointments right now." You can still book appointments for them yourself from the schedule.
  • If the maximum per hour was reached. In Settings › Company, Appointment tab, the Maximum requests per hour limits how many appointments can be requested in one hour from the same internet connection. It helps stop abusive bookings; if you leave it empty, there is no limit.
  • If they can't find times. Check that the schedule is Active, that it has Public time slots and that the service, the professional and the coverage your client chose are set up in it.
